Eaglesvale School Alumni values the generosity of alumni, friends, supporters, partners, sponsors, and community members who contribute financially to support our mission. 

This Donation Refund Policy explains how donation refunds are handled for contributions made through the Eaglesvale School Alumni website or related fundraising channels. 

Our goal is to operate with transparency, fairness, and responsible stewardship. 

2. OUR DONATION PRINCIPLE 

Donations made to Eaglesvale School Alumni are generally considered: 

  • voluntary
  • charitable in nature
  • made in support of organizational initiatives 

Because donated funds are often allocated promptly toward operations, programs, commitments, and community initiatives, donations are generally considered non-refundable, except in limited circumstances described below. 

3. WHAT DONATIONS MAY SUPPORT 

Contributions may support activities such as: 

  • alumni engagement initiatives
  • events 
  • scholarships 
  • school support efforts 
  • community programs
  • communications 
  • administrative operations 
  • website maintenance 
  • outreach initiatives 
  • volunteer coordination 
  • fundraising campaigns 
  • special projects 

Funds may be applied where organizational need is greatest unless specifically designated. 

4. REFUND ELIGIBILITY 

Refund requests may be considered in limited situations such as: 

Duplicate Donations 

Where the same donation is accidentally processed more than once. 

Unauthorized Transactions 

Where a payment was made without the donor’s authorization. 

Processing Errors 

Where technical or administrative errors caused incorrect charges. 

Incorrect Donation Amount 

Where a user unintentionally entered an incorrect amount. 

Exceptional Circumstances 

Other situations reviewed at the organization’s reasonable discretion. 

Approval is not automatic. 

Each request will be evaluated individually. 

5. NON-REFUNDABLE SITUATIONS 

Refunds may generally not be granted for: 

  • change of mind 
  • dissatisfaction unrelated to transaction error 
  • donations already allocated or used 
  • delayed refund requests without reasonable cause 
  • donor misunderstanding where clear information was provided 
  • designated gifts already committed 

Exceptions may be considered at organizational discretion. 

6. REFUND REQUEST TIMELINE 

Refund requests should be submitted as soon as reasonably possible. 

Recommended timeframe: 

Within 14 calendar days of the transaction 

Late requests may still be reviewed in exceptional circumstances. 

7. HOW TO REQUEST A REFUND 

Refund requests should include: 

  • donor full name 
  • email address 
  • phone number (if applicable) 
  • donation date 
  • donation amount 
  • payment method 
  • transaction reference number (if available) 
  • reason for the refund request

8. REVIEW PROCESS 

Upon receiving a refund request, Eaglesvale School Alumni may: 

  • review transaction records 
  • verify payment details 
  • request additional information

Our goal is to handle requests fairly and reasonably. 

9. REVIEW TIMELINE 

Where practical, refund requests will be reviewed within: 

7–14 business days 

Complex situations may require additional time. 

10. APPROVED REFUNDS 

If a refund is approved: 

  • the refund will generally be returned using the original payment method where feasible 
  • payment processor timelines may affect delivery 
  • third-party processing rules may apply 

We are not responsible for delays caused by payment providers or financial institutions. 

11. THIRD-PARTY PAYMENT PROCESSORS 

Donations may be processed by third-party providers. 

Examples may include: 

  • Stripe 
  • PayPal 
  • other approved providers 

Those providers may have their own: 

  • refund timelines 
  • dispute procedures 
  • fraud review processes 
  • transaction rules 

Users may also need to comply with applicable provider requirements. 

12. RECURRING DONATIONS 

For recurring giving programs: 

Users may cancel future recurring donations at any time according to the payment platform’s process. 

However: 

  • previously processed donations remain subject to this Refund Policy 
  • cancellation does not automatically trigger refunds 

13. FRAUD OR UNAUTHORIZED ACTIVITY 

If you believe a transaction was fraudulent or unauthorized: 

  • notify Eaglesvale School Alumni immediately 
  • contact your payment provider or financial institution where appropriate 

Prompt reporting improves resolution opportunities. 

14. ORGANIZATIONAL DISCRETION 

Eaglesvale School Alumni reserves the right to: 

  • approve or decline refund requests 
  • request supporting documentation 
  • interpret this policy reasonably 
  • protect against misuse or fraud 

All decisions will be made in good faith. 

15. POLICY CHANGES 

We may update this Donation Refund Policy periodically. 

Changes may result from:
